1. Scope

This Privacy Policy explains how AON Data collects, uses, stores, and shares information when you use the AON Data website, related web dashboard, APIs, and the MicBuddy mobile application.

MicBuddy is used by contributors to discover data collection projects, apply for or join projects, complete recording, transcription, annotation, validation, and conversation tasks, and track project progress.

2. Information We Collect

Account and profile information: email address, password credentials handled by our authentication provider, name, phone number if provided, avatar, role, region, preferred language, and project participation profile details.

Contributor and payment-related information: information you choose to provide for crowdsourcing participation, such as messaging account identifiers, age, payment method, and payment account details where needed to support contributor onboarding and payments.

Project and task information: project applications, project membership, task claims, task progress, submitted task records, transcription or annotation content, validation decisions, rejection reasons, timestamps, and related project activity.

Audio, media, and upload data: microphone recordings, conversation audio tracks, recording duration, audio format metadata, uploaded files, avatar images, and file storage keys or signed URLs used to upload or retrieve submitted content.

Conversation session information: session passcodes, channel identifiers, participant status, online or offline presence, call status, recording start and end times, and upload or mixing status for collaborative conversation tasks.

Technical and usage information: device and app information, authentication/session data, network request information, logs, error diagnostics, security metadata, and cookies or local storage needed to keep you signed in and operate the service.

3. How We Use Information

We use information to create and secure accounts, authenticate users, provide project discovery, manage applications and project access, assign and track tasks, support audio recording and upload workflows, review and validate submissions, prevent abuse, provide user support, and operate, maintain, and improve AON Data and MicBuddy.

We may also use information to calculate task progress, support contributor payments, audit quality, troubleshoot upload or recording issues, comply with legal obligations, and enforce project rules or agreements.

4. Permissions and Device Access

MicBuddy requests microphone access when you use recording or conversation features. Audio is collected only when you start a recording or participate in a recording session.

MicBuddy may request access to photos or files when you choose to upload an avatar or a file for a task. The app may also use network access, notification-related capabilities, and local storage to support authentication, upload queues, project data, and task status.

You can manage device permissions in your Android system settings. If you disable a required permission, some features may not work.

5. How We Share Information

We do not sell personal or sensitive user data.

We share information only as needed to provide and operate the service. This can include cloud hosting, authentication, database, object storage, content delivery, email, analytics, crash or diagnostic, and real-time communication providers.

Project managers, reviewers, validators, and authorized AON Data team members may access profile, project, task, audio, transcription, annotation, validation, and status information as needed to manage projects, review quality, support contributors, and process payments.

We may disclose information if required by law, legal process, security investigation, or to protect the rights, safety, and integrity of users, AON Data, MicBuddy, or the public.

6. Third-Party Service Providers

AON Data and MicBuddy use service providers for authentication, database storage, cloud hosting, file storage, signed upload and download URLs, real-time conversation sessions, email delivery, monitoring, and operational support.

These providers process information on our behalf or as necessary to deliver the features you use. We require service providers to handle data securely and only for the purposes of providing services to us, subject to their applicable terms and privacy commitments.

7. Data Security

We use reasonable technical and organizational safeguards designed to protect user data, including HTTPS for data in transit, authenticated API access, role-based access controls, signed upload or download URLs for files, and access restrictions for administrative and review workflows.

No online service can guarantee complete security. You are responsible for keeping your login credentials confidential and for using a secure device and network.

8. Data Retention and Deletion

We retain account, project, task, audio, validation, and operational data for as long as needed to provide the service, complete projects, perform quality review, process payments, resolve disputes, maintain security, comply with legal obligations, and support legitimate business records.

You may request deletion of your account and associated personal data by contacting us at postmaster@aondata.work. We will delete or anonymize data where reasonably possible, unless retention is required for legal, security, payment, fraud prevention, dispute resolution, project audit, or compliance purposes.

Some submitted task records, audio files, annotations, validations, and project audit records may need to be retained after account deletion when they are necessary for project integrity, payment records, client delivery, legal obligations, or fraud prevention.

9. Your Choices and Rights

You can access and update certain profile information in the app or web dashboard. You can sign out of your account at any time.

Depending on your location, you may have rights to request access, correction, deletion, restriction, portability, or objection regarding your personal data. To exercise these rights, contact us at postmaster@aondata.work.

You may decline optional information requests, but some projects or payment workflows may require specific information to verify eligibility, complete work, or process payment.

10. International Processing

AON Data supports global projects and contributors. Your information may be processed and stored in countries or regions other than where you live, subject to applicable laws and safeguards.

11. Children

AON Data and MicBuddy are not directed to children. Users must be old enough to enter into project participation agreements and provide any required consent under applicable law. If we learn that a child has provided personal data without appropriate consent, we will take reasonable steps to delete it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the date above and may provide additional notice through the website, app, or other appropriate channels.
